Volunteer With Band Boosters

Mission Statement 

The Medina Valley High School Band Boosters exists because of volunteers like you. Our organization is entirely parent- and community-driven, and every event, performance, and experience our students enjoy is made possible through the time, energy, and dedication of people who show up for the Panther Band.

Whether you have two hours a month or two days a semester, there is a place for you here. We welcome all skill levels, all backgrounds, and all schedules. When you volunteer with the Band Boosters, you are directly investing in the lives of our student musicians.

The safety of our students is the top priority of both Medina Valley ISD and the Medina Valley Band Boosters. Per Texas Education Code §22.0834 and UIL guidelines, all volunteers who have regular, direct contact with students — including field trip chaperones, competition escorts, and event workers — are required to complete an approved background check before participating.

What You Need to Know:

🔹 MVISD Volunteer Registration (Required)

All volunteers must be registered and approved through the Medina Valley ISD volunteer system. MVISD uses the Raptor Volunteer Management system to process and track volunteer clearances. You will need to register with a valid government-issued photo ID before your first volunteer activity.

🔹 Criminal Background Check

MVISD requires a background check for volunteers who have regular contact with students. This is processed through the district and may include a Texas Department of Public Safety (DPS) criminal history review.

🔹 Fingerprinting (If Required by MVISD)

Some volunteer roles — particularly those involving unsupervised student contact or overnight travel — may require a fingerprint-based background check conducted through the Texas DPS and the FBI. The district will notify you if fingerprinting applies to your role.

🔹 Annual Renewal

Background clearances are typically renewed on an annual basis at the start of each school year. Volunteers are responsible for keeping their clearance current. You will not be permitted to serve in a supervised student-contact role without an active clearance on file.

🔹 Disqualifying Factors

Per Texas law, individuals with convictions involving violent crimes, sexual offenses, or offenses against children are not eligible to volunteer in roles with student contact.

⚠️ Before your first volunteer shift, contact MVISD or the Band Boosters to confirm your clearance is on file. Volunteers without an approved background check on record will not be permitted to participate in student-contact activities.

What We Expect From Our Volunteers

To ensure a safe, positive, and professional environment for all students, we ask every Band Booster volunteer to honor the following expectations:

✅ Put Students First — Our decisions and actions always center on what is best for the students. Personal agendas and conflicts should be set aside when serving in a volunteer capacity.

✅ Respect the Director's Vision — The band directors lead the program. Volunteers support, but do not direct, rehearsals, performances, or musical decisions. Please follow director guidance at all times.

✅ Maintain Confidentiality — Information shared about individual students, financial matters, or internal Booster business should remain within appropriate channels.

✅ Communicate Proactively — If you are unable to fulfill a committed shift, please notify your volunteer coordinator as early as possible so arrangements can be made.

✅ Follow All MVISD Policies — All volunteers are expected to comply with Medina Valley ISD's Code of Conduct, campus visitor policies, and applicable UIL rules while on duty.

✅ Represent the Panther Band with Pride — Whether in the stands, on the field, or in the community, you represent our program. We ask that all volunteers model the respect, sportsmanship, and excellence we expect of our students.

✅ Maintain Background Check Clearance — Volunteers are responsible for keeping their MVISD clearance current each school year before participating in any student-contact activity.

The Medina Valley Band Boosters is a 501(c)(3) parent volunteer organization supporting the Medina Valley High School Band Program. All volunteers are subject to MVISD volunteer policies and applicable Texas law.
